1. Who we are

2. Information we collect

Depending on how you use the service, we may collect:

• Account information: name, work email address, phone number, role and company details of people who use the CRM.
• Lead and customer information: names, phone numbers, email addresses, property preferences, budgets, notes and activity history that our customers store in the CRM about their own prospects and clients.
• Enquiries: details you send us through this website, such as a contact or demo request.
• Communication records: emails, SMS and WhatsApp messages sent through the CRM, and their delivery status.
• Technical information: log-in times, device and browser information, and IP addresses, used for security and support.

3. How we use information

• To provide, operate and support the CRM for our customers, and to respond to your enquiries.
• To send notifications to CRM users, such as a new lead being assigned, a follow-up being due or a site visit being booked. These can be sent by email, in the app, or by WhatsApp where a customer has connected WhatsApp.
• To send marketing campaigns that our customers choose to run. We only send these to contacts our customers are permitted to contact.
• To keep the service secure, prevent misuse and fix problems.

We do not sell personal information, and we do not use it for advertising of our own.

4. WhatsApp messages

WhatsApp messages are sent and delivered through the WhatsApp Business Platform provided by Meta Platforms, Inc. Meta processes message data under its own terms and privacy policy. We only send WhatsApp messages to people who have an existing relationship with our customer, such as CRM users receiving internal alerts, or leads who have agreed to be contacted. Recipients can opt out by replying STOP or by contacting the business that sent the message.

5. Sharing information

We share information only with service providers that help us run EdgexCRM, under contracts that require them to protect it:

• Cloud hosting and database providers, which store the CRM data.
• Email delivery services, which send CRM emails.
• Messaging providers, including Meta for WhatsApp, which deliver WhatsApp and SMS messages.
• Media storage providers, which store uploaded files such as images and documents.

We may also disclose information if required by law.

6. Data retention

We keep CRM data for as long as our customer’s account is active. When an account is closed, we delete its data within a reasonable period, except where we must keep it to meet legal obligations.

7. Security

We use encryption in transit and access controls within the CRM. Sensitive credentials, such as messaging provider tokens, are stored encrypted. No system is completely secure, so we cannot guarantee absolute security.

8. Your rights

Depending on where you live, you may have the right to access, correct or delete your personal information, and to object to or restrict some processing. To exercise these rights, contact us at info@edgexcrm.com. If you are a lead or customer of one of our customers, please also contact that business directly.

9. Children

EdgexCRM is for business use and is not directed at children under 18.

10. Changes to this policy

We may update this policy from time to time. We will change the “Last updated” date above when we do.
